The Content Risk Review Add-in for Microsoft Word brings automated compliance checking directly into your Word environment. This guide explains how to review content, manage risks, and submit documents to IntelligenceBank.
Opening the Add-in
- Click the IntelligenceBank Content Risk Review Add-in icon in your Word ribbon to launch the tool
- A task pane will open on the right side of your document
Authentication
- When the Add-in opens, you'll see a sign-in screen
- Click the Sign In button
- A browser window will open asking for your IntelligenceBank platform URL
- Enter your organization's IntelligenceBank URL and click Continue
- Complete the authentication process in the browser
- Once authenticated, you'll be redirected back to Word with the Add-in loaded
Document Review Process
Starting a New Review
- The Add-in will detect if the document has been previously reviewed
- For new documents, you'll see a Review button
- If applicable, select the appropriate filters from the dropdown menus
- These filters determine which compliance rules will be applied to your document
- Click Review Document to start the compliance check
Viewing and Managing Risks
After the review completes, risks will be displayed in the right panel:
- Risks are shown in the order they appear in the document
- Clicking on a risk will scroll your document and highlight the relevant text
- For each risk, you can:
- Dismiss the risk by clicking the "X" icon if you don't believe it's an issue or after you've addressed it
- Insert as Comment by clicking the comment icon to add the risk feedback as a Word comment
Re-Reviewing Your Document
After making changes to address identified risks:
- Click the Review Again button to scan your document with the latest changes
- The system will analyze your document again and show updated results
- Repeat the review and edit process as needed until all risks are addressed
Previous Review Management
If your document has been previously reviewed and saved:
- When opening the document again, you'll be offered a choice to:
- Load Previous Review - View the most recent review results
- Start New Review - Begin a fresh compliance check
- If you load a previous review, you can:
- View all risks identified in that review
- Check the History tab to see dismissed risks
- Restore previously dismissed risks if needed
Note: The "Load Previous Review" feature is available for documents reviewed after April 1, 2025. Reviews conducted before this date cannot be reloaded.
Sending to IntelligenceBank
When you're ready to submit your document to IntelligenceBank:
- Click the menu icon (⋮) in the top-right corner of the Add-in
- Select Send to IntelligenceBank
- Select a destination:
- Risk Review Submission - Creates a new record in the default database
- Select Database - Choose a specific database for your submission
- Select Record - Submit to an existing record (if you have recently accessed records)
- Configure submission options:
- Select appropriate filters for the document
- Add any notes or context about the document
- Click Send to upload the document to IntelligenceBank
After Submission
Once your document is submitted:
- A success message will appear with links to view your document in IntelligenceBank
- Choose from:
- Go to Record - Opens the IntelligenceBank record in your browser
- Copy Link - Copies the record URL to your clipboard for sharing
- Continue Editing - Returns to your document in Word
Using the History Feature
The History feature helps you track your document reviews:
- Click the menu icon (⋮) in the top-right corner of the Add-in
- Select History
- View a list of:
- Recent local reviews
- Dismissed risks from the current review
- Documents you've sent to IntelligenceBank
Troubleshooting
If you encounter issues with the Add-in:
- Authentication Problems: Ensure you're using the correct IntelligenceBank URL and credentials
- Review Processing Errors: If a review fails to complete, try reviewing again or check your internet connection
- Submission Errors: Verify you have access to the selected database and that all required fields are completed
