There are three types of Approvals available – Publish Approvals, Download Approvals and Feedback Requests.
Publish Approvals require online approval, based on a pre-determined workflow, prior to a Resource being made available within a Folder, while Feedback Request can follow the same flow but can be requested on any file at any time, independently of them being already published or not.
Download Approvals require online approval, based on a pre-determined workflow, prior to a Resource being made available for downloading, for Users with List permissions on a Folder. Once a Download Request has been approved, the user will receive an email with a one-time link to download the file.
Workflow settings for Publish and Download approvals are set on each Resource Folder, while Feedback Request is available on a file level for users that have access to the folder and the folder has a feedback workflow attached. Users and Approvers receive email alerts to notify them of the status of each approval.
Users and Approvers have access to an Approvals section on the Navigation Menu, to track the status of each active request, and to track the history of all prior approvals.
Workflow & Approvals applies to Resources, Databases and Surveys, and permissions can be enabled for User Groups on the Workflow history of items within the platform under Admin>Groups>Permissions>Rules. A group with Access on the workflow history module can view the Approval History of any resource, while a group with Admin access can also accept, decline and complete any approval at any time. Users can always see the workflow history for requests they have been either a requester or submitter on, pending they still have access to the related item.
