Database Calendars: Multi Date and Ranges

Modified on Fri, 23 Oct at 4:47 AM

In addition to being able to select a calendar start and end date, you can also set multiple dates and ranges. This means that you can view a record multiple times as it progresses through the various stages of a project, based on the dates or timeframes associated with those stages.

If a date field is enabled as part of the display and the corresponding value for that date is entered on the record, the record will appear based on that date/range value.

Setting up Multi Date Range Defaults

All calendar defaults and date display options appear in one popup.

Within the Database Settings page is a field called Default Calendar Date(s) which replaces the previous default, start and end date fields. You can edit and select your default dates by clicking the Configure button highlighted below. This button will only be available once the database has been created. Note that all of the existing default options will automatically be available and preselected in this popup.

Calendar Date(s) Popup

When you click Configure from the Database Settings, a popup (pictured below) will open which will allow you to select your Default Calendar Date(s). Once added and saved, these dates will become the default date options for all users when they're using the database's calendar view.

Only the initial start date is required to be filled out, as this sets the default date by which users will see the records on the calendar view.

The dropdowns of each date option will list all date fields from within the form. There are a few exceptions to this:

  • For the first date range only, any date field that contains conditional logic will not appear.
  • Date fields from within duplicable sections are not supported for this feature.

Selecting Additional Dates, Ranges, and adding Custom Labels

To view records based on more than 1 date or range, click the Add button (visible in the image above).

Once you do this, you will be given the option to add additional dates, as well as adding in a Custom Name. Since records may appear multiple times in the same calendar view, adding in a custom name will make it easier to differentiate between them.

A few other things to note:

  • The names/counts at the top of each section are specific to the type of field, i.e. if only a single date field is selected, then it will be 'Date'. If you also select an end date, this will update to 'Range'.
  • You can delete each range/date except the first one in the list.
  • If you select a date as a start date, you will not be able to select the same date as the end date.

Once you've added all of the dates you wish to track the records against, click Confirm on the popup before saving the Database Settings.

Multi Dates on the Calendar View

In addition to the default calendar dates set in the Database Settings area, users are also able to edit these on the fly while they're on the calendar view. At the top left of the database will either be date field dropdowns or a button called Calendar Date(s) (based on what the default selection is).

If you click the button or the Add icon next to the date fields, you'll be able to view the fields that the database is currently displaying. From here, each user can tailor their own view. The close icon will clear any changes and revert to the options set as the default.

Viewing Records on the Calendar with Custom Labels

When a user is on the calendar view, they will be able to view records according to the dates selected. I.e. if I have a date range and 2 standalone dates, the user might see 1 record appearing 3 times, based on the dates inputted against those date fields.

If you have also added a custom name, this will appear against the relevant entry of that record.
