Using the IntelligenceBank MCP Server: Use Cases and Example Prompts (BETA)

Once your AI assistant is connected to the IntelligenceBank MCP Server, you work with your IntelligenceBank platform by asking for what you need in plain language. This article shows what you can ask for, with example prompts to adapt and a few habits that get better results. To connect your assistant first, see About the IntelligenceBank MCP Server (BETA).

Before You Start

  • Replace the names in brackets - the prompts below use placeholders such as [Approved Imagery] or [Spring Launch]. Use the names of your own folders, filters, collections and colleagues.
  • Your words work - if your platform calls assets something else, such as Media or Files, say that. The assistant reads your platform's own terminology.
  • Your permissions apply - the assistant finds only what your IntelligenceBank account can see, and uses only the tools in your connection's profile.
  • Assistants differ - some show pictures in the conversation, others give you links. The prompts work either way.

Habits That Get Better Results

  • Say what, where and when - name the kind of asset, the folder or collection, the file type and the period. "PNG logos for [Brand] updated this year" finds the right files faster than "logos".
  • Use your platform's own filters - if your platform has filters such as Brand, Channel or Product, name them and the value you want. The assistant knows your filters and custom fields.
  • Refine in steps - start broad, then narrow: "only the landscape ones", "just the PNGs", "from the last month".
  • Look before you resize - ask to see previews first. Previews are free. Every resize, crop or conversion is a paid render on your platform, made when its link is opened.
  • Name your review categories up front - when you ask for a risk review, include the channel, market or product it is for. Otherwise the assistant lists your categories and asks first.
  • Give the file when you have one - a review of a file also checks visual rules, such as logos and layout, and shows the page each issue is on. Pasted copy is checked against the text rules only.

Use Cases and Example Prompts

Each use case shows a vague prompt and a better one. The better prompt gets a useful answer first time, with fewer follow-up questions.

Find assets

If two folders share a name, the assistant asks which one you mean. It can also look inside a file's text, for example "find PDFs that mention [Q3 pricing]".

Look up an asset from a link

Work from a collection

See assets as a gallery

A gallery shows up to 20 assets. Each picture opens the asset's page on your platform, and offers a download and its public link where public sharing is set up.

Check details and usage rights

The assistant answers from what your platform records. Usage terms, owner and review date appear only where your platform has them turned on.

Get the file

The file comes straight from your platform. The link works while your IntelligenceBank session is active.

Resize, crop or convert an image

"Get these ready for Instagram.""Apply our [Instagram] preset to these three images."
"Change the format.""Convert [image name] to PNG."

Ask "What image presets do we have?" to see your platform's saved sizes. IntelligenceBank renders the new file when you open its link.

Find a colleague's work

If more than one person shares the name, the assistant asks which one you mean. An email address avoids the question.

Run a risk review

"Check my brochure.""Review the attached brochure against our rules for [Print] in [United Kingdom]."

A review takes a few minutes, and the assistant checks back until the findings arrive. Each finding names the rule it broke and the words concerned, so you can fix them there and then. Requires the Marketing Compliance capability on your platform.

Putting It Together

The assistant can combine several of these in one conversation. Ask for one step at a time, or describe the whole job.

What It Cannot Do

  • Change anything - it cannot edit metadata, move or delete assets, change a collection, or send anything for approval.
  • Add assets to your library - it uploads a file only to run a risk review on it.
  • Reach beyond your access - it sees only what your account can see, and uses only the tools in your connection's profile.
  • Upload from Microsoft Copilot - Copilot cannot send a file, so a risk review there runs on the text, and downloads come back as links for you to open.
Note: AI assistants can make mistakes. Check anything important against your IntelligenceBank platform before you rely on it.
