The Connector configuration page is located under Tools > Cloud Services > IntelligenceBank Connector.
Connector Modes
AEM Sites
The AEM Sites Connector mode makes it easy for users of Adobe Experience Manager to access and insert IntelligenceBank image assets while editing web pages. It is a very simple, CMS focused, integration approach, which doesn’t support metadata mapping.
Note that it this mode is only compatible with the native Image component from Adobe Experience Manager. Custom Components are not supported.
AEM Cloud Assets Sync
The AEM Cloud Assets Sync mode enables the ability to automatically synchronize select IntelligenceBank assets into a dedicated destination folder within the Adobe Assets area. IntelligenceBank metadata fields can be mapped against Adobe Experience Manager Assets metadata fields.
AEM Cloud Assets Sync
General
-
When Cloud Assets Sync mode is selected, 2 additional tabs are available in the configuration page: Sync Query and Metadata Mapping.
-
You can Pause the sync process at anytime (e.g. to make changes to the sync query) by clicking on Pause Sync. The pause will occur instantly (i.e no save required).
-
The Default Destination Folder field allows you to select where synced assets are created into by default. Additional options are also available in the Destination Folder area (see below).
-
Synced assets are created into a flat list. i.e any folders that are part of the sync query scope will not be recreated in Adobe Assets.
Destination Folder
This optional section allows to configure additional settings for determining the Destination Folder of synced Assets, in addition to the Default Destination Folder option (which may now act as a fallback Folder if any of the options below are also enabled) configured in the previous section.
- Conditional Destination Folders: assets can be created in different destination folders based on single select fields or filters metadata values present on the IntelligenceBank synced assets.
- Dynamic Destination Folder: a Destination Folder can also be created on the fly based on a metadata field value of the IntelligenceBank asset. The IntelligenceBank field can be a Custom Text field, a Custom Single Selection field or a Global Filter. The folder will be created within the Default or Conditional Destination Folder as defined via the corresponding options.
- Note that if an Asset is created, and then tagged or re-tagged with a different value than what was applied on Asset creation, the Asset will not be moved to its new location as part of the sync. The dynamic destination folder location is only determined on initial creation. The new metadata value will however be reflected against the Asset, if the metadata field is mapped, or if the IntelligenceBank Metadata Schema is enabled.
Sync Query
-
The Sync Query area allows you to customize which IntelligenceBank assets are to be synced and created into the AEM Assets area.
-
In addition to the permissions that are applied to the login credentials inputted into the General tab, the following options can be applied:
-
Folder UUID: to restrict the sync scope to a specific folder area. Note that sub-folders will always be included. Multiple parent folders can be inputted separated by a comma.
-
Keywords: to restrict the sync scope to the result of a keyword search, as per the platform search functionality.
-
Search Scope: when a Keywords search is inputted, you can restrict it to apply to select metadata fields only, as per the corresponding platform search option.
-
Extension: to restrict the sync scope to specific file formats.
-
Wrapped Conditions: to restrict the scope with advanced filtering options, as per queries applies in the platform search side panel.
-
A basic understanding of the API documentation is required for implementing wrapped conditions. Click here to learn more about how to configure wrapped conditions in Adobe Experience Manager.
-
-
-
The Sync is triggered every 5 minutes (starting at :00 minute of every hour). All returned results are checked against already synced assets each time.
-
Only the first 1000 assets returned are synced (ordered by last updated time).
-
The assets synchronized will be created into the destination Sync Folder as a flat structure.
-
When files are added or updated within the IntelligenceBank source scope area, the additions or updates will be reflected in AEM upon sync.
-
Updates will apply to both the source File and Metadata.
-
Updates occur within the “Authoring” section, not “Publishing”. See this.
-
-
Restrictions to note:
-
Assets deleted in IntelligenceBank will not be deleted in Adobe Assets upon sync.
-
Destination Folders will only be set on initial asset sync and creation, not on updates.
-
Metadata Mapping
-
Different Metadata Mapping Modes are available:
-
None: only the IntelligenceBank Name will be synced when creating AEM assets.
- IntelligenceBank Scheme: the IntelligenceBank metadata fields will be automatically saved against a read-only IntelligenceBank tab when creating AEM assets. The scheme will be enabled on destination folders automatically. Filters and Custom Form Fields are currently not supported with that option.
-
Custom Mapping: select IntelligenceBank metadata fields can be mapped against specific AEM metadata fields. This option provides complete control on how taxonomy is maintained across both systems. Filters and Custom Form Fields are supported.
- Note that embedded metadata nested properties are not supported.
- Note that embedded metadata nested properties are not supported.
-
-
If you are leveraging XMP Metadata in AEM, consider enabling metadata mapping options in IntelligenceBank to automate the embedding of XMP metadata and by extension, its availability in AEM. This simplifies the sync configuration as the mapping then occurs automatically.
You can learn more about metadata mapping options here.
Saving Changes
- In order to save changes, you will need to verify the configuration is valid. Make sure to test the configuration regularly to ensure everything is setup correctly.
AEM Sites Mode
When AEM Sites Mode is selected, the following options are available for configuration:
- Store inserted assets locally: if enabled, any inserted asset will be copied locally within Adobe Assets. If disabled, only IntelligenceBank assets enabled for Public Sharing will be available, and a direct CDN link will be used, thus not requiring for a separate copy of the asset to be downloaded locally.
- Default Destination Folder: if assets are to be stored locally, this will be their destination in Adobe Assets.
