Searching for assets is one of the most fundamental and important actions end users perform within the platform. Enhancing assets' searchability is really key to ensuring that your users can find the assets they're looking for as quickly and efficiently as possible.
The best way to improve search is to add metadata (particularly in the form of keywords and filters) to your assets when they're uploaded or edited within the platform. This metadata will make your assets searchable by those terms, so that end users don't have to rely on clicking through folder structures, or remembering specific file names to find what they're looking for.
For this reason, best practice is to minimise folders, and maximise asset tagging wherever possible.
Optimised searching involves 3 key items:
- Keywords - descriptive words, which can be added to assets via AI auto tagging or manually by users
- Example: Flower= petal, rose, stem, red
- If using AI auto tagging, it's recommended that the minimum confidence level be set to at least 85% in the platform for quicker and more accurate tagging
- Consider embedding keywords from Adobe, or other similar tools into your assets before they're uploaded into IntelligenceBank so these keywords carry over and are indexed in our search
2. Filters - categorical values that are either general or client specified
- Example: Year, asset type or size, author, date, licensing, etc.
- Custom filters can be created by individual user needs
- It's recommend to limit the number of filters to 6-8 so it's not cumbersome for the uploaders or editors to assign filter values to their assets
3. Tagging - all assets are tagged with keywords and/or filters
It is recommended you search using a combination of both keywords and filters.
