When Public Sharing is enabled on your platform, you can create and share temporary or permanent public share links with non-registered users.
Public sharing is particularly useful if you need to share certain assets with people (ie: freelancers, agencies, etc) who may not have a login to your platform. By sharing just the files they need to access, you can maintain compliance and governance over the assets in your library.
IntelligenceBank offers public sharing for the following:
Once generated, the public share link will provide direct access to recipients to a branded and dynamic display page where they can browse, search, preview, and download the shared assets.
Public Sharing Pre-Requisites
To create and share a public link, the following general conditions must be met:
- You must have a minimum of Access permission on the folders the assets to be publicly shared are in
- The shared assets must be enabled for Public Sharing
- The shared assets must be File or Alias asset types
- The shared assets must be published (i.e. not pending approval or declined)
These conditions still apply after the link is created or shared. As such, when the recipient accesses the public link page, only the assets that are eligible for public sharing at the time will display. If none of the content is eligible for public sharing, a message indicating so will appear instead.
Public Sharing Options
The following Share Options are available for all content types:
- The link can be permanent or set to expire at a specific Date and Time. Consider using an expiry date if you only want the recipients to be able to access the assets within a set timeframe.
- The link will take the public recipient to a branded page featuring the shared asset(s).
- The metadata can be displayed or hidden against each shared asset. Consider sharing the metadata if you want the recipients to view the assets' descriptions, keywords, filters, file size, etc.
- The public recipient will be able to download the shared asset(s) to their desktop. The downloading of these asset(s) will be counted towards your Public CDN Data Transfer monthly limit.
- Views of the public page and Download actions are logged against the asset usage reporting. If the link is shared and accessed via the in-platform email option, the individual email address will be tracked as well.
Managing Public Share Links
After a share link has been generated, you can update or deactivate that link at any time. Learn more about this feature here.
