Sharing a Selection of Assets Publicly

Modified on Thu, 20 Aug at 4:15 AM

This article outlines how to generate a public share link for a selection of assets (either specific assets within a folder, or off of a search).

Note, up to 300 assets can be selected and publicly shared at a time on a single link via this option.

For more information on public share links in general, please refer to this article.

To share a selection of assets publicly (ie: with non-registered users):

1Navigate to the assets you want to publicly share. Select the assets and click the Email / Share Public Link bulk action.

Note that the option will only appear if Public Sharing is enabled on your platform and at least one of the selected assets is eligible for Public Sharing.

2The preview panel on the left will filter out any assets that cannot be shared publicly, either because they are not part of a public folder, or you do not have the minimum permission required (Access on the folder the selected assets are in).
3You can set an expiry date and time for the link, and choose whether the metadata of the assets should be visible to the recipients.
4Once the Share Options are set, click the Generate Share Link button at the bottom right of the screen, then Copy Share Link so you can paste that link into an email, for example. Alternatively, you can choose to email it directly from the overlay by adding recipients' emails to the Email Address field, adding them as recipients, and selecting the Email Share Link & Close button.

A benefit of emailing the link to recipients via the platform is that a unique id will be added to the link generated for each user, which allows for tracking of which email address is associated to each download in the usage reporting. If the tracking id is not set, the actions will be lodged against a Public Access user but with no reference to any particular email recipient.

Updating the Public Share Link

If you make any change to the Share Options, just click the Apply Share Link Changes button for the changes to be saved.

The Share Link page generated for the selected assets is dynamic, which means that if the any of the assets are deleted, disabled for Public Sharing, or your permissions change (Access permission minimum is required), this will be reflected immediately when recipients access the link next.

Public Share Usage Restrictions

Note the following applicable usage restrictions:

  • Each download done by a Public user will be counted towards your CDN Public Data Transfer monthly limit. This limit is set to 200GB by default. When the limit is reached, users will still be able to access the page, but will not be able to download the file any longer until this limit is increased or the next monthly cycle starts. A "soft limit" may be applied on your platform during which users will still be able to download the files individually.
  • While any number of files can be shared and viewed in the Share Link page, the default maximum size of files that can be downloaded at once (as a dynamically generated zip file) is 5GB.
  • There is a maximum limit of concurrent users that can access the public page link at the same time. This limit is set to 50 by default. When the limit is reached, users will be placed in a queue to enter the public page.
