Within your platform, access to modules or certain areas of the platform is typically assigned to Groups of Users, rather than each user individually.
In order to have access to specific areas (Modules), folders or databases, each user is placed into a specific group or groups that govern what they can or can't access.
For example;
You have 2 groups, a "Asset Creation" Group and an "Asset Approver" group
You can allow both groups to Access the same folder. However the users in the "Asset Creation" group have permission to upload and edit the assets whilst the users in the "Asset Approver" groups only have access to view the assets.
*Please note: If updates to user group permissions are required and you are unsure of the process, please contact your Account manager to arrange a discussion about how they can assist you in making the right changes according to best practice.
Group Permissions by Module:
You can set permissions for what a Group has access to on each module. To do this, go to Admin > Groups and click on the Group you would like to set up permissions for, then select Permissions.
Add each module you would like that user or group to have, by either selecting Access or Create.
Access gives access and view rights to that particular module. Create, additionally gives the ability to create content in that module.
Within each module you can also create custom rules. To do this, click on Add and select the criteria required from the dropdown. Additionally click on Details to launch the detailed Content permission level for individual items like folders.
For Resources, IntelligenceBank provides 4 different levels of permissions. They are:
- Preview - View online only
- Access - View online & Download
- Publish - View online, Download, Upload/Edit and Delete content.
- Admin - View online, Download, Upload/Edit, Delete content, Manage folder settings and Add sub-folders.
Once you are happy with the settings and permissions added, click Confirm.
*Note that the name given to modules, features and information items may vary in your platform as they can be customized by Main Admin users.
