This article is for IntelligenceBank administrators. It explains how to prepare the database that receives social posts and ads. IntelligenceBank then connects your site and sets up the collection of your accounts and pages.
Table of Contents
Before you start
- Marketing Compliance with Risk Reviews must be enabled on your site. Without it the Is Social Media setting is not available. Your IntelligenceBank contact can confirm this.
- Only a main administrator or a Databases module administrator can turn on Is Social Media and change the database's settings afterwards.
- Only one database per site can be the Social & Ad Risk Reviews database.
Step 1: Create the database
Create a new, empty database, for example "Social & Ad Risk Reviews". Use a database with a single submission form. A staged database cannot be used.
Step 2: Add the upload field
In the database form builder, add a multiple file upload field and set it as below.
| Setting | Value | Why |
|---|---|---|
| Multiple Files Upload | On | A post or ad can have several images or videos. |
| Enable Risk Review | On | Risk review is what finds risks in each file. |
| Risk Review Trigger Mode | Manual | IntelligenceBank attaches the images, videos and details first and then starts the review. An automatic trigger would start the review before the record is complete. |
| Maximum File Limit | At least 10, up to 50 | A carousel can carry up to 10 images. A limit below 10 is refused when the collection is set up. |
Step 3: Add the record fields
IntelligenceBank fills in the details of each post or ad by matching on the field label. Capitalisation and spacing do not matter, but the words must match: "Body copy" matches "Body Copy", but "Post Copy" does not. Add one field for each label below. A missing field is left blank on every record, but the details still appear in the Metadata panel.
| Field label | What it holds | Suggested field type |
|---|---|---|
| Account | The account the post or ad came from | Text |
| Live Post Link | Link to the original post or ad | Text or URL |
| Post Id | The platform's ID for the post or ad | Text |
| Date Posted | When it was published | Date or text |
| Date Scraped | When IntelligenceBank collected it | Date or text |
| Scrape Id | The collection that gathered it | Text |
| Body Copy | The text of the post or ad | Text area |
Some platforms add one label:
| Platform | Extra label |
|---|---|
| Meta Ads | Paid For Disclaimer |
| Facebook posts | Paid Partnership |
| Paid Partnership | |
| Google Ads | None. Google Ads has no Body Copy, so the platform name is written instead. |
| None |
Rules for these fields:
- Make them optional. Not every post or ad has every value.
- Use text, text area, date or URL fields. Other field types, such as dropdowns and checkboxes, cannot be filled.
- Do not add other required fields unless they are text fields. A required text field with nothing to fill it is filled with the record title. A required date, dropdown or checkbox cannot be filled and the record is rejected.
The record field is labelled Live Post Link in your form. In the Metadata panel the same value is shown as Link, because the post or ad may have been removed from the platform since it was collected.
Step 4: Turn on Is Social Media
- Open the database's Settings.
- Tick Is Social Media and save.
If another database on the site already has this setting turned on, the save is refused and the message names that database. Turn the setting off there first.
Step 5: Show Total Risk Count
To show each record's findings in the list, set the database's Featured Field to Total Risk Count. The column only appears when risk visibility is enabled for your site. Your IntelligenceBank contact can confirm this.
What happens next
Tell your IntelligenceBank contact the name of the database. IntelligenceBank connects it to the collection of your accounts and pages, and checks it every time a collection is saved. If something is missing, the collection is not saved until it is fixed, and you are told what to change.
What changes once it is on
- The Add record button is hidden for every user, including administrators. Records only arrive through the collection.
- Typing the add record address directly sends the user back to the database list.
- The database is shown as a list only. Card, Calendar and Kanban layouts are not offered.
- Only a main administrator or a Databases module administrator can open the database's settings.
